Implementation Process By Director - Institutional Data
 
Any person planning to conduct a survey of students, staff, alumni, or community members on behalf of the institution must contact the office of the Director - Institutional Data before administering the survey. 

Survey definition for the purposes of this procedure: a tool, such as a questionnaire, poll, or  series of interviews, that collects information from any broad sampling or census of a population to systematically collect, analyze, and summarize data.
Surveys that are exempt from this procedure:
  • Surveys of students in a class conducted by instructors as part of teaching that class
  • Surveys that students conduct as part of their CWC coursework
  • Surveys of staff within a department/division/area/staff association conducted by the leadership of that department/division/area/staff association
  • Evaluation forms of a specific event or activity administered during or shortly after the event or activity
  • Feedback from customers at the point of service (e.g. bookstore, food court).
  • Surveys of community members (not staff, students or alumni) conducted by Wyoming PBS
  • Surveys administered by the Director - Human Resources to provide data for evaluations of employee performance
  • Course evaluations
In addition to the requirements of this procedure, any survey that constitutes human subject research must abide by the institution’s Institutional Review Board procedure.
The office of the Director - Institutional Data will maintain an institutional survey process.  As part of that process, the Director - Institutional Data may impose guidelines or restrictions on surveys conducted by staff members. The process will serve the following goals:
  • Help staff members craft effective, useful surveys that produce reliable, valid data
  • Maximize response rates
  • Minimize survey fatigue of respondents
  • Ensure that surveys abide by all relevant laws and ethical best practices, especially those that concern survey respondents’ privacy
  • Assure consistency in the way CWC is represented to our stakeholders
The office or individual conducting the survey will maintain control over the survey response data. If the office of Director - Institutional Data has access to the data as a byproduct of coordinating a survey, that office will not distribute or publish the data without the consent of the survey conductor.
